Cybist Online refurbishes PCs, laptops, AV and networking gear on a FileMaker system it had outgrown. We prototyped the replacement: goods-in, production, dispatch, per-unit P&L and engineer performance, all from one scope of work document — designed in Figma with AI, delivered alongside the quote.

Cybist Online refurbishes IT equipment across three pillars — PCs and laptops, AV, and networking — running goods-in, production, dispatch and returns through FileMaker. It had done the job, but it was reaching its limits: no clean way to build real KPI dashboards, no API to build automation on top of, and workflows that were harder to extend than the business now needed.
Their scope of work set out a full replacement: a cloud-hosted database migrated from FileMaker with a documented schema, a custom web app matching or improving the existing goods-in, production and dispatch workflows, and KPI dashboards covering lead time, engineer throughput, shipment volume and batch profitability — built API-first so future automation could sit on top without a rebuild.
It was a precise, technical brief. We prototyped it as a working platform in a single day.

The scope of work covered a full migration off FileMaker: goods-in, production, dispatch, KPI dashboards and reporting. The prototype models all of it as one connected platform.
A dashboard built around their own KPIs
Units completed, shipped and in production, lead time, engineer throughput and estimated profit — the exact figures Cybist tracks, not a generic template.
Orders that carry their own financials
Every order shows supplier, VAT, shipping and a full line-item breakdown, so the grand total is never a separate calculation done elsewhere.
Profit visible down to the unit
Each refurbished unit gets its own cost breakdown and visual P&L — purchase cost, work cost, fees and margin, on the record that matters at resale.
Engineers and write-offs, tracked properly
A performance leaderboard by throughput and return rate, alongside a removal log for scrapped units and the value lost against each one.

The prototype carries a persistent operations shell — dashboard, orders, units, pages required, parts required, resources, voids, returns, removal, reports — with real sample data behind each one, not a handful of disconnected screens.
